ORGANIZE YOUR HOME OFFICE DAY
The second Tuesday in March is National Organize Your Home Office
Day. Who truly understands the value of this holiday? It's
celebrated each year by more and more business owners, employees and
people who manage their personal affairs in a home office.
This is a great time to get back in control of your space, paperwork
(including all of those "To Do's") and time management.
Our favorite motto is: "Organizing
is a 'process' ... it's not a one-day project."
It's true. The best results come from applying specific
organizing techniques and maintaining the personalized systems that
truly work for you. There are several phases to this process
which you can practice daily, weekly and monthly during the year.
LET'S
GET STARTED
Why
-- We hear many reasons why people want/need to get organized. For
example: (1) too much valuable time is wasted looking for information,
(2) appointments were missed because the calendar was buried in a pile
of paperwork,
and (3) potential clients or essential vendors were lost because their
contact info was not stored in an efficient system for contact
management.
When -- Do it now ... turn off all phones, turn on your favorite
music, have lots of boxes and trash bags handy, and roll up your
sleeves. Today you're going to get organized and nothing is
going to stop you.
What
-- Look around and decide what is "homeless" in your
office and needs a special place to live. Put all those items to
be sorted in
boxes with temporary labels: magazines, newspapers, paid bills, etc. and line boxes up against one
wall. Be prepared to toss, recycle and shred unnecessary
paperwork and file all the important documents.
Where -- Decide which "active" supplies, files and notebooks need
to be stored within arm's reach. Be sure a large enough file
cabinet and bookcase are located near your desk.
How -- Now that items are in boxes, divide and
conquer all the paperwork, office supplies and personal items. How often do you actually
use them? If daily or weekly, they should live in or on the desk.
SOLVING THE
PUZZLE
During
each organizing session, we recommend application of an effective
organizing method. This process is broken down into 5 steps.
1. Categorize - put items together with "like" items, such as CDs with
CDs, marker pens with pens.
2. Remove - select unnecessary items and decide what to store, donate
and toss.
3. Give it a good "home" - items used infrequently should not
be stored in/on your desk.
4. Hold it - appropriate boxes and containers utilize limited storage
space more efficiently.
5. Maintain systems - schedule routine organizing sessions, i.e. 15
minutes at end of each day.
If this process seems too overwhelming for you to complete alone,
we suggest that
you ask for assistance. The reality is that the longer you wait to
start, the worse the situation could become.
